Executive Assistant to the President


I. GENERAL INFORMATION:

II. PRIMARY PURPOSE & FUNCTION:

  • Provide administrative and secretarial support to the President.
  • Act as primary TechnoServe liaison and event coordinator for US Board of Directors, Board Emeritus, TechnoServe Advisory Council, and UK Board of Directors/Advisory Council.
  • Support the President and TechnoServe Boards/Councils with the flow of information regarding TechnoServe projects within the organization, with donors and other interested observers, with host country governments and with other development institutions.
  • Perform programmatic duties as assigned by the President.

III. RESPONSIBILITIES:

Executive Assistant Duties

  • Support the President’s executive communications (internal and external).
  • Make travel arrangements, including visa applications, and prepare detailed hard copy and electronic agendas for President and others traveling with him.
  • Update and, on a daily basis, monitor the President’s calendar, anticipating potential needs for upcoming meetings and trips. Provide members of the Board of Directors with the President’s whereabouts when they call.
  • Coordinate and handle logistics for all DC-based meetings convened by TechnoServe’s President. Support Senior Management Team meetings convened in other domestic/international locations.
  • Coordinate the Senior Management Team’s weekly communications with the President. Archive all 5.15s and take notes during the weekly SMT calls or meetings.
  • Support all Senior Management Team initiatives (such as strategic reviews/assessments) as requested by the President.
  • Work with Development Division, primarily Director of Major Gifts, to coordinate meetings with TechnoServe donors.
  • Update and maintain the President's donor relationship records in Raiser’s Edge.
  • Attend weekly meetings with Development Division and the President.
  • Work with Director of Major Gifts to process important acknowledgement activity, such as phone calls and letters.
  • Assist in drafting correspondence with TechnoServe donors, Members and other stakeholders.
  • Ensure all TechnoServe documents are readily available for distribution, either electronically, by mail or by face-to-face presentations, and distribute as directed by the President.
  • Maintain recall files of important dates, meetings, appointments and action steps for the President.
  • Submit timesheets and expense reports for the President and maintain President’s corporate credit card account.
  • Open and manage incoming mail for the President by scanning, logging recall items and distributing action items on a timely basis.
  • Prepare general correspondence for the President.
  • Place video and audio conference calls for the President.
  • Perform other duties as assigned by the President, including but not limited to programmatic duties.

TechnoServe Board/Council Coordinator Duties

  • Maintain electronic databases for TechnoServe Boards/Councils (all) in Raiser’s Edge and MS Outlook.
  • Maintain physical files for all TechnoServe Boards/Councils in DC office.
  • Field basic queries/request from all TechnoServe Boards/Councils and maintain administrative relationship with all members.
  • Assist in the development of an engagement strategy for all TechnoServe Boards/Councils with Director of Major Gifts and Vice President, Marketing & Development.
  • Arrange meetings for President and members of all TechnoServe Boards/Councils.
  • Plan, organize and execute all TechnoServe Board/Council meetings, both domestic and international, and act as primary point of communication with members for such events.
  • Coordinate international TechnoServe Boards/Council events with local TechnoServe Country Office.
  • Plan and organize TechnoServe’s Annual Meeting and secure TechnoServe Board/Council participation in cooperation with Development Division.
  • Alert all TechnoServe Board/Councils members of meeting dates on an annual basis and as dates approach.
  • Attend all TechnoServe Board/Council meetings and take minutes. Make sure minutes are approved and archived.
  • Draft all official TechnoServe correspondence addressed to TechnoServe Boards/Councils (i.e. for mass mailings, not individual letters from TNS staff).
  • Ensure all TechnoServe Board/Council members receive TechnoServe collateral (annual reports, newsletters, e-news alerts, etc.) in cooperation with the communications team.
  • Ensure all legal and procedural obligations of TechnoServe Boards/Councils are met on an annual basis (i.e. Standard of Conduct forms, elections, etc.) with input from development team and TechnoServe General Counsel.
  • Review all TechnoServe Board/Council committee memberships on an annual basis, and work with staff representatives assigned to each committee to ensure meeting minutes are being archived and maintained when necessary.
  • Coordinate TechnoServe Board/Council member trips to the field as requested. Ensure adequate records (including pictures) are acquired for communications.

IV. KEY QUALIFICATIONS:

  • Bachelor’s Degree
  • Minimum of 1 year of experience working with an international company in a coordinator role.
  • Strong multi-tasking skills.
  • Proficiency in Microsoft Word, Outlook, Excel, PowerPoint and database applications.
  • Strong written, communication and organizational skills.
  • Strong interpersonal skills.

  • Implementing and facilitating time-efficient systems that maximize the use of the President’s time.

  • Ensuring proper functions of the organization.
